You can group, filter and organize the report using any available category or property. ### Accessing the Milestone Report Builder The Milestone Report Builder is a configurable grid report that displays line-level cost data from a selected Milestone's Estimate, Budget, and Items. It supports custom grouping, filtering, sorting, and export to PDF or Excel. To access the Milestone Report Builder, go to the **Reports** page, click the **New Report** button, and select **Milestone Report Builder**.  ### Report Presets When the report is first opened, choose a preset to define the initial columns. - The **Detailed Milestone** preset provides a summary of the Active Milestone with costs summarized across Estimate, Budget, Accepted, Pending, and Running Total. - The **Item Focus** preset filters for just Items Cost and displays a section for **Item Details**, such as Assignee and Due Date. Select a **Preset**, then click **Start Report** to begin configuring the report. ![Screenshot 2026-09-03 at 4.34.01 PM](https://success.join.build/hs-fs/hubfs/Screenshot%202026-09-03%20at%204.34.01%20PM.png?width=670&height=367&name=Screenshot%202026-09-03%20at%204.34.01%20PM.png) ### Configuring the Report #### Data Source The report pulls **detailed line cost data** from the selected Milestone’s **Estimate, Budget, and Items.** #### Columns and Grouping - Use the **Columns** panel to show/hide columns in the grid. - Drag fields into the **Row Group** section to organize rows. ##### ![description grab](https://success.join.build/hs-fs/hubfs/description%20grab.gif?width=369&height=480&name=description%20grab.gif) - Hover over a column and select the down arrow to Autosize, Sort, or Group columns, or expand/collapse all rows. - **Group By** is available for the following columns: - Line type, Source, Description - Categorizations - Item, Status, Assignee - Markups Name, Type, Display Type ***Tip:** If your project has multi-level categorization, open the Edit Columns panel and drag additional levels to the Group By panel.* *If you want Item details like status, assignee, etc. to show up on group rows when you're grouping by Item, then Item should be your last/lowest group.* ##### Notable Behavior - By default, data is grouped by the first project categorization defined in [project categorization](https://success.join.build/en/knowledge/getting-started-with-custom-categories?hsLang=en) settings. - When grouping by a Categorization, uncategorized direct cost lines will be grouped into an **Uncategorized** group. - Markups/indirect costs won't be placed into any group, so you can group them separately (typically by Markup Name), and they will show up at the same level. #### Filtering Filter data via the **Filter** panel or by selecting the funnel icon in the column header. Common filters:  - **Source:** Items, Estimate, or Budget - **Categorizations:** Custom categorizations - **Item Detail:** Status, Assignee, or Type (Item/Option) The following columns will be aggregated in the Total row at the bottom of the report, and in subtotal group rows: - Line Cost - Totals - Total Cost - Type (LEMSOU) Totals - All Project Totals ***Note:** When Milestone Estimate, Budget, and Item sources are all included in the Source column filter, your **Total** column will include both Estimate and Budget costs. Filter the source column or use the dedicated **Project Totals** columns to view these totals shown separately for each source.* #### Sorting Sort by any field by clicking the column header, or its name in the **Row Groups** section of the **Columns** tab. To sort by multiple columns, hold down **Shift** while clicking each field. ### Exporting and Printing The export will honor all expanded/collapsed rows, hidden columns, and any filters applied in the report. ![page size select](https://success.join.build/hs-fs/hubfs/page%20size%20select.gif?width=278&height=351&name=page%20size%20select.gif) - **Print to PDF:** To download the report as a PDF, click the export button and select Print report. Choose the **page size** (Letter, A3, Tabloid, or Custom) or if you'd like to include images in your **print header**. - **Export Full Report to Excel:** To export the full report to Excel, click the export button and select **Excel**. - **Copy and Paste Selected Data to Excel:** If you want to export a portion of the report, select the cells you wish to export. Utilize keyboard shortcuts such as Ctrl+C / Ctrl+V (Cmd+C / Cmd+V for macOS) to copy and paste into a spreadsheet or Excel workbook. ### Saving and Sharing a Report #### **Saving** When you save a Milestone Report Builder report, the following grid configuration settings are saved: - Column order - Column visibility - Filters - Row groups - Row group expansion state - Sorting ***Tip:** Refer to the [Create a Custom Report](https://success.join.build/en/knowledge/create-a-custom-report?hsLang=en) article for further instructions on saving and updating your reports.* #### Sharing The Milestone Report includes **line-level cost detail** from the Estimate, Budget, and Items. Anyone you share it with will be able to view this cost data. ***Caution:** This report can include line-level cost detail, and anyone you share it with will see it. Use the read-only view to control what owners, design teams, and partners can see.* ##### Read-only view of shared reports To simplify the view for report consumers, users without access to **Milestone Cost Details** (typically the Owner role) will see a flattened version of the reports shared with the team.   Read-only viewers cannot expand, collapse, or edit the report configuration. (Direct Costs, Markups, Owner Costs) - Description - Description of an Estimate line item or Markup. - Source - The type of estimate the line item was sourced from (Estimate, Budget, Item) - **Categorizations** List of the categorizations on the project. - Categorization #1 - Categorization #2 - Categorization #N - **Line Cost Details** Detailed breakdowns of an estimate line item's cost and quantities. - Labor - Material - Equipment - Subcontractor - Other - User - Total - Quantity - Unit - Unit Price - **Project Total** Estimate, Budget, and Item costs. - Estimate - Budget - Delta - The difference between the Budget and the Estimate (Budget minus Estimate). - Gap - The difference between the Budget and the Running Total (Budget minus Running Total). - Pending - Pending Adds - Pending Deducts - Pending Min - Pending Max - Accepted - Accepted Adds - Accepted Deducts - Rejected - Project Running Total - **Markup Details** Detailed information about Markups. - Type - (Lump Sum, Percent) - Display Type - (Markup, Contingency, Allowance) - Markups Name - The Markup's description. - **Item Details** Detailed information about Items. - Item - Number and name of the Item. (hyperlinked) - Status - The status of an Item. (Pending, Accepted, Rejected, Incorporated, Not Chosen, Not Applicable, No Item) - Created At - The date the Item was created. - Updated At - The date the Item was last updated. - Due Date - The date a decision for the Item is due. - Assignee - The person assigned to the Item. - Item Type - Whether the Item is a parent Item or a child Option.
